Skupnost.sio.si hosts many personal data controllers, as revealed by the names of the main categories of virtual classrooms.

PURPOSES FOR WHICH THE DATA ARE PROCESSED

We will process personal data for the purposes of informing and participating in the activities of the controllers of virtual classrooms that you will join, as well as for issuing public documents (e.g. certificates).

By joining individual virtual classrooms, you agree to the purposes of processing the data as determined by the controller of the selected virtual classroom.



CONSENTS

In the event of obtaining consent, Arnes will only process the data for the purposes for which the consent was given.

REVOCATION OF CONSENT

Consent may be revoked by a written note sent to the processor’s address.

In the event of revocation of consent, Arnes will stop processing the data that was collected on the basis of said consent. Once the consent has been withdrawn, It is no longer possible to submit any subsequent requests for the issuance of official documents.

OBJECTION

The user has the right to object and may at any time object to the use of the data for the above purposes. An objection may be e-mailed to podpora@sio.si and or sent to the data processor’s mailing address.

DATA ACQUISITION

Arnes obtains personal data directly from the user, or via third parties, in both cases processing the same types of personal data as if it were obtained directly from the user. Arnes may be provided with the user's personal data by a third party who enters into a contractual relationship with Arnes (e.g. a headmaster who collects the personal data of his employees for training purposes). In such cases, the third party is obliged to obtain the appropriate consent for the transfer of personal data to Arnes, and to inform the user about it.

Arnes collects the following information about an individual: first name and last name, email, date of birth, institution of operation or education, participation in educational and training sessions, as well as any issued certificates.

STORAGE PERIOD

Personal data will be stored until revoked in accordance with the purposes of informing and issuing public documents.

USERS' RIGHTS

Users may request the following:

  • A printout of the types of personal data processed by Arnes about the user

  • Correction of data in cases where stored personal data is incorrect

  • Deletion or restriction of processing of personal data; in such a case, the user shall be notified by the controller that the deletion of personal data will make it impossible to grant any subsequent requests for the issuance of public documents.

RIGHT TO FILE A COMPLAINT

In the event that a user is of the opinion that Arnes violated his/her rights in the processing of personal data, s/he may send a written complaint to the data processor’s mailing address.

Users may also file a complaint with the personal data protection supervisory authority or with the Information Commissioner.

FINAL PROVISION

This Privacy Policy is effective as of September 15, 2018.

INTRODUCTORY DEFINITIONS

Skupnost.sio.si is a website managed by the public institution Arnes (hereinafter referred to as the website’s administrator) and offers services provided by the Moodle system.

Moodle is an educational content management system that allows users to create or use learning environments in the form of virtual classrooms.

A virtual classroom is an online environment where editors use various tools and publish resources in order to manage the educational process, project and the like.

The virtual classroom category is a defined set of virtual classrooms. Categorization makes it easier to view and assign rights to multiple virtual classrooms at the same time. Each category is assigned one or more editors.

The user can assume various roles on the website, e.g. that of a guest, registered user, or editor.

A guest is any visitor to the site who views the content anonymously.

A registered user is any user who has created an account on the website. An account may be created via the AAI system or by self-registering.

A virtual classroom category editor is any registered user who has editorial rights over a particular online classroom category. He is appointed by the site administrator.

A virtual classroom editor is any registered user who has the right to edit a particular virtual classroom. He is appointed by the category editor.


RIGHTS AND RESPONSIBILITIES

Each registered user at skupnost.sio.si must agree to General Conditions. Before entering a virtual classroom, s/he is obliged to inquire in the description of the virtual classroom whether it is subject to any additional specific conditions of use. Entering the virtual classroom means agreeing to these terms.

The virtual classroom editor is obliged to note in the description of the virtual classroom whether it is subject to additional specific conditions of use. The virtual classroom editor is responsible for the content and events in the virtual classroom that s/he edits.

The website administrator is not responsible for the activities and contents of individual virtual classrooms and their categories.

The website administrator, category editors, classroom editors and registered users must comply with the provisions of the law governing the protection of personal data and the relevant European Union regulations that apply and take a direct effect.

USER ACCOUNT

A user account is considered valid when it contains user data such as the first name,last name and email address.

The account is deleted in the event of:
- serious violations of the general conditions or any additional conditions pertaining to the virtual classroom
- death of the user
- upon user’s request

- invalidity
- inactivity for more than three years

In the event of the user's death, a request to delete the account is sent to Technical Support at podpora@sio.si by the user’ relatives, the headmaster or an authorized person of the user's organization. However, by deleting an account, the content contributed by the user is not deleted.

Each user is responsible for any data that s/he enters. Data between accounts is not readily transferable.

UNAUTHORIZED USE OF THE WEBSITE

Any use in the form of a service or omission that causes—or could cause—damage to the website or any third party, as well as any use of the website contrary to the purposes for which it was created is considered unauthorized.

The following in particular are considered unauthorized uses of the website:

  • using someone else’s account or lending one's own

  • intentionally disrupting and disabling the work of other users

  • using access to services for profit-making activities

  • advertising and disseminating chain letters

  • destroying and altering data owned by other users

  • breach of confidentiality or publication of data owned by other users

  • publishing and transmitting infringing data

  • creating, transmitting or publishing data with offensive, aggressive or pornographic content

  • transmitting false or misleading personal data to online services

  • using programs or processes whose purpose or end effect is to impair the integrity and stable operation of a computer, computer system, or network


The site administrator and the category and virtual classroom editors have the right to take appropriate action on the site if they establish unauthorized use.

PROCEDURES

Resolving requests for assistance to users

In case of problems, the user contacts the virtual classroom editor or emails Technical Support at podpora@sio.si. The initial response of the Technical Support to the user's message is made within 24 hours on weekdays. After resolving the issue, Technical Support prompts the user to confirm agreement to the solution. If the user does not respond to the call within 1 (one) week, the system automatically labels the request as successfully resolved.

Problems with user accounts

FORGOTTEN PASSWORDS

The user can reset the password at https://skupnost.sio.si/login/forgot_password.php. In the event that the problems with logging in to the website persists despite resetting the password, the user submits a request for assistance to podpora@sio.si. Technical Support resets the password for a one-off login with a forced password change.

In the case of problems with logging in via the AAI system, the user is first directed to the organization that assigned his/her AAI account (Identity Provider Administrator (IdP)).
Switching to login via the AAI system

Upon user’s request, Technical Support can change the login method for the selected user account. In case the user has an account created by self-registration, s/he can switch to future login via the AAI system. In the case that several accounts were created by self-registration, the user has to decide to which one s/he wants to transfer the AAI login.

Data between accounts is not directly transferable.

Case presentation


Janez Novak has been logging in to community.sio.si for two years via the janezn account created by self-registration. He has participated in many virtual classrooms and also acted as a contractor in some of them.

Since his home school recently granted him an AAI account, he would like to login with his new account “janez.novak@sola.si” whenever possible. When he first signed in with his AAI account, he realized that it was a new account with a completely blank profile and that all items and personal information were still in the previous (old) account.

He sent a request to podpora@sio.si to have the AAI login transferred to his old account. Technical Support explains the consequences of the transfer and requires its confirmation. The support then changes the login method and once again asks Janez to explicitly confirm that he wants to display the old account data with the AAI login. The next time Janez logs in with an AAI login, it lands him in the account that he had had under the old login janezn. Therefore, he confirms to Technical Support that everything is fine. This effectively concludes the transfer of the AAI login to the old account.

VIRTUAL CLASSROOMS

For categories that have their own editor, a virtual classroom will only be created after obtaining the editor’s permission. An application for a new classroom that does not fall into any category, or one that falls into a category without an editor, will be forwarded by the Technical Support to the editorial board, which will decide on its approval.

The request for a new virtual classroom should be sent to podpora@sio.si or directly to the category editor. The following information should be provided:

  • virtual classroom’s address

  • name and email of the virtual classroom’s editor

  • short description of the content or purpose

  • virtual classroom’s category

  • any additional specific conditions of use


Virtual classrooms of past projects and classrooms that have been inactive for more than 2 years are moved to the Archives category. The editor of the virtual classroom is notified about the move.

Virtual classrooms in the Archives that have been inactive for more than five years are deleted.

CHANGING THE TERMS OF USE

The administrator of community.sio.si reserves the right to change the terms of use of the website at any time to ensure optimal operation of the website. Users are informed of major changes.
